Using Nurse Call Response Data for Quality Improvement

Every call your residents make leaves a record. Used well, those records tell you where your team is stretched, where workflows break down, and where things are going right.

Most care leaders have a sense of how their teams are doing. Data turns that sense into something you can act on and share. With Direct Care Connect DCC™ from Poltys Canada, every alert is time-stamped from the moment it is raised to the moment it is cleared, including who accepted it and when.

The measures that matter

Average response time by shift. Night and weekend shifts often look different from weekday days. Seeing them separately shows where support is needed.

Response time by neighbourhood. A single wing that runs slower than others may point to layout, staffing or routing rather than effort.

The longest waits. Outliers matter more than averages. A good average can hide a handful of calls that took far too long.

Alarm volume by hour and weekday. Busy periods become visible, which helps when planning breaks, med passes and staffing levels.

A target line. Setting an acceptable response time and showing it on the dashboard gives the whole team a shared standard.

From numbers to action

Adjust staffing. Move a float caregiver to the hours and areas where calls cluster.

Refine routing. If calls wait because they reach the wrong people, change zones or escalation rules.

Coach with evidence. Review specific calls with the team rather than relying on memory or impressions.

Review care plans. A resident calling far more often than usual may need a care plan conversation.

Fix devices. Repeated nuisance alarms from one device often signal a hardware or placement issue.

Documentation you can stand behind

When a family asks what happened overnight, or an inspector asks how quickly your team responds, a complete, time-stamped record answers the question clearly. It also helps teams recognize good work: consistent, fast responses deserve to be seen as much as the exceptions do.

Live, not just historical

Reports explain yesterday. A live active alarms board shows right now: every open call, its priority, where it is, who accepted it and how long it has been waiting. Charge staff can see at a glance when a call needs another pair of hands.
